Commercial Cleaning Questions Buyers Ask First

The questions buyers actually ask before they sign a cleaning contract, answered plainly. Where an answer belongs on another page, it is there rather than repeated here.

Most of what follows is the same conversation we have on a first call, written down so you can read it before you make one. Nothing here is a price, because a price for a building nobody has walked is a guess. If your question is not below, call (727) 245-0123 and ask it.

Pricing and contracts

Do you charge extra for holidays or after-hours work?

Whatever the answer is for your building, it is in the written scope before you sign rather than on an invoice afterwards. Recurring work is priced against the schedule you actually want, so a contract written for nights is priced for nights and carries no surprise for being worked at night. Where a specific date or a one-off out-of-hours request sits outside the agreed schedule, it is quoted before it happens. Do you offer a discount for multiple locations?

Tell us how many sites and where, and it is priced as one account rather than as several. Multiple buildings genuinely cost less to run per site once routing, supervision and supply management are shared, and that shows up in the numbers rather than as a headline percentage. What matters more than the discount is that each site still gets its own line-item scope, so you can see what each building costs and change one without reopening the others.

Insurance, licensing, and liability

Do you carry workers’ compensation insurance?

Yes. Workers’ compensation is in force, and the certificate can be sent alongside our general liability COI. Request both and our insurance rep will usually be able to get them to you the same or next day.

Can you add us as an additional insured?

Yes. Our policy allows it and we do it routinely; most of our commercial and property management clients require it, so this is a normal part of onboarding, not a special request.

Staffing and vetting

Are your workers trained, and in what?

Training here is specific to the building rather than generic. Every crew is briefed on the scope for their account, on chemical handling and dilution for the products they carry, on the contact times a disinfectant needs to actually work, and on the boundaries that apply where they work: what not to touch in a medical practice, what not to move in a server room, what belongs to your licensed waste vendor rather than to us. Where a client requires their own induction or confidentiality terms, those are signed before the first visit rather than after it.

Do you provide uniforms and ID badges?

Yes. Every team member is in company uniform and carries a photo ID badge you can check at the door.

What happens if a crew member calls out?

We staff day and night shift management specifically so a call-out never becomes your problem. Coverage is arranged internally; we don’t skip services and we don’t reschedule them on you.

Scheduling and access

How often should our building be cleaned?

Foot traffic decides it far more than floor area does. A professional office with a small headcount is usually well served two or three nights a week; a building with public restrooms, a reception counter and daytime visitors is a five-night account, and often a day porter as well. Anything with food, a gym floor or a clinical space runs daily. The honest way to set it is to start at the frequency the busiest area needs, then reduce the areas that do not need it, rather than picking a number and hoping.

What if we need to change the schedule?

Call the office and it changes. A short-notice change to a single visit is an ordinary request and we would rather have the call than send a crew to a locked building. A permanent change to frequency or to the days is a change to the scope, so it is confirmed in writing and the line-item price moves with it. That is the point of pricing each area and frequency separately: one part can change without reopening the whole agreement.

Quality and accountability

How do you make sure the work actually gets done?

Crews clock in on site and the record is GPS-stamped, photographs are taken at each service, and schedules and work orders sit in one system rather than in somebody’s phone. That means the question of whether a visit happened is a matter of record rather than a matter of opinion, which is not true of a contractor whose only evidence is that nobody complained. Supervision runs through our own office, so there is one person accountable for your building rather than a territory holder.

Who do I call if there is a problem?

The most common failure in this trade is not a bad clean, it is a complaint that reaches nobody with the authority to fix it. If you are comparing bids, ask each contractor who owns the problem at nine on a Monday and see how long the answer takes.

Do you provide reports or checklists?

Yes. The scope you sign is itself the checklist, because it names the areas, the tasks and the frequency rather than describing the work in general terms. Alongside it, work orders and schedules are held in one system, visits are logged with a GPS-stamped clock-in, and photographs are taken at service. If your own reporting needs a particular format for a landlord or a board, say so before the scope is written rather than after the first month.

Will someone walk the building with me?

Yes, and we would rather you were there than not. The walkthrough before a quote is free and carries no obligation, and having the person who actually runs the building on it is worth more than an hour of our own inspection: you know which room floods, which door is propped open, and what the last contractor never did. After the account starts, a walk with your contact is an ordinary request rather than an escalation.

Do you inspect the work?

Our management team inspects every account weekly, scaled to your cleaning frequency. We also photograph the work after every single service. Photos and written inspection reports are available to you at any time, on request.

How fast do you respond to complaints?

We respond to every complaint within three hours, and our goal is always to resolve it the same day. Not an auto-reply: you get an actual person who can fix it.

Products and safety

Are your products safe around employees, food, or sensitive equipment?

The product is chosen for the room rather than the other way round. Food areas take food-safe chemistry at the labeled dilution and color-separated tooling where the facility requires it. Server rooms and electronics take no liquids near the equipment at all, and anti-static tooling instead of a domestic vacuum. Clinical space takes EPA-registered disinfectants used at their labeled contact time, which is the part most crews get wrong by wiping a surface dry before the chemical has done anything. Where your facility has its own approved-product list, we work from yours.

Do you follow OSHA requirements?

Yes, and the parts of it that matter on a cleaning contract are worth naming rather than gesturing at. Hazard communication governs how chemicals are labeled, stored and understood by the people using them. The bloodborne pathogens standard governs exposure control anywhere a crew may encounter it, which includes restrooms as well as clinical space. Confined-space entry and lockout/tagout are certified activities that we work around rather than perform. Where your own site induction adds to any of that, crews complete it before the first visit.

Can you meet our facility’s specific compliance standards?

In most cases yes, and the way to find out is to send us the standard before the scope is written rather than after. Buildings that run to an external program, whether that is an infection-control protocol, a food-safety audit scheme, a cleanroom classification or a landlord’s own specification, already have the document. We write the scope against yours rather than proposing our own, and where something in it needs a credential we do not hold we will tell you that plainly instead of agreeing in the meeting and improvising on site.

Do you provide safety data sheets?

Yes. Every account gets a custom booklet with the SDS sheets in it covering every chemical our crews carry on your site, kept on site usually in the janitorial closet or wherever you require it. The booklet also includes your account manager’s direct contact information and the full scope of work, so there’s never a question about who to call or what’s covered.

Company and credibility

How long have you been in business?

Twelve years, family-owned, and headquartered in Pinellas Park. In that time the company has held City of Pinellas Park contracts, which is a matter of public record and therefore one of the few claims on any contractor’s website you can check without asking them for it. The BBB A+ rating and the 4.8 average across Google reviews are the other two, and both are verifiable from outside.

Can I see proof of past work?

The gallery on this site carries before and after frames, surface detail and the facility types we work in. What it deliberately does not carry is a recognisable client building without written permission, because we work inside medical practices, schools and government buildings and a photograph of one of those is not ours to publish. For a specific bid, references from comparable buildings are a better answer than a photograph anyway, and we will give you contacts rather than logos.

Are you a certified minority, woman, or veteran-owned business?
